Administrative Assistant

Valley National Financial Advisors is seeking a professional and experienced administrative assistant who can, provide exceptional service to our clients, and uphold Valley National’s standards for ethics, team work and a client-first culture.


Duties & Responsibilities

  • Outlook calendar management for busy financial advisor, including scheduling
  • Promotes the corporate image internally and externally
  • Act as liaison between financial advisor, clients, support team, and other employees
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans
  • Administrates corporate records and communications with stakeholders
  • Gathers and assists with completion of paperwork for clients
  • Manages the preparation of reports for client review meetings
  • Administrates client documents and client files, including document retention
  • Administrates internal and external communications



  • 3-5 years prior experience in an administrative role, specifically with an executive or senior manager
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands and remain flexible as priorities change
  • Excellent command of English to be able to speak, read, and write fluently
  • Dedication to detail and accuracy
  • Proficiency in Microsoft Office (Word, Outlook, Excel)
  • Ability to follow directions and work with minimum supervision
  • Excellent administrative, time management, and organizational skills
  • Ability to maintain client confidentiality
  • Ability to manage multiple deadlines within the 40-hour work week


  • Financial Services office experience
  • Tax return processing knowledge/experience
  • CRM database systems experience (Tamarac preferred)
  • Series 7 and 66 (or 63/65) licensed.
